Why an annual maintenance contract beats waiting for breakdowns

Many facility managers assume an AMC is just a retainer for the same callouts at a discount. It is not. A contract is a planned programme with fixed schedules, defined response times, and reporting you can hand to an owners association without editing.

Annual Maintenance Contracts

AMC contracts for Dubai buildings: scheduled servicing, priority response, documented reporting. Compare contract coverage against reactive callouts with Europe

What a contract actually covers

What we check: every asset listed in a schedule agreed with you before signing. What we find: buildings on reactive-only maintenance typically spend more annually than contracted buildings, because every visit is an emergency premium. What we do: agree a visit frequency per asset, deliver scheduled servicing across AC, plumbing, electrical, and fabric, and provide quarterly condition reports. The contract states exactly which parts and consumables are included and which are billable, so there are no mid-year surprises. You get a fixed annual cost to budget against, rather than a variable repair bill to explain.

Contracts versus reactive callouts

What we check: how a building currently spends its maintenance budget. What we find: reactive spending clusters in summer, exactly when tenants complain loudest and boards ask hardest questions. What we do: move predictable work into scheduled visits, leaving genuine emergencies as the only unscheduled items. A compressor failure on a 40 degree day costs tens of thousands of dirhams and weeks of disruption. The coil cleaning and gas checks that prevent most such failures cost a small fraction of that over the year. The maths is not close.

Priority response and SLAs

What we check: whether your current arrangement has any defined response commitment. What we find: most informal arrangements respond when they respond. What we do: contract clients get priority dispatch, with agreed response windows for urgent faults written into the agreement. Contract work is scheduled around your building, with access arrangements, quiet hours, and tenant notice handled by us. When something does fail, you are at the front of the queue rather than competing with a contractor's one-off customers.

Reporting an owners association can audit

What we check: the standard of documentation your building needs for RERA-aligned record keeping. What we find: informal maintenance leaves no asset history, which makes budgeting and dispute resolution harder every year. What we do: every scheduled visit produces a dated report with photographs and findings, stored against each asset. At year end you receive a summary of work completed, faults detected, and recommendations for the following budget cycle. That document turns your service charge discussion from opinion into evidence. Call +971 50 168 5444 to discuss contract structures.

Common questions

Straight answers, before you book.

How is an AMC priced?

We survey the building, count and assess the assets, and agree visit frequencies before quoting. The price reflects equipment type, quantity, and access conditions. We do not quote blind over the phone, because an accurate contract price depends on what is actually installed.

Can we start mid-year?

Yes. Contracts run for twelve months from the start date, not the calendar year. We begin with a full asset survey, so the first quarter of the contract establishes the baseline the rest of the year is measured against.

What happens if we need work outside the contract scope?

Non-contract work is quoted separately and never carried out without your written approval. The contract document lists inclusions clearly, so the boundary between covered servicing and billable repairs is never a matter of interpretation.
